4. Emergency Procedures (includes Closing the University)

Emergency procedures and the coordination of emergency response are the responsibility of the Associate Vice-President, Operations and Human Resources in cooperation with the University of Waterloo Police, the University of Waterloo Safety Office, and all regional emergency service personnel. Employees who identify a potential emergency situation should contact local authorities (e.g. the University of Waterloo Police) or, if building evacuation is thought necessary, pull the nearest fire alarm.  

Fire Alarms/Evacuation Procedure  

If a fire alarm sounds, the entire facility (i.e. all St. Jerome’s buildings) must be evacuated immediately. After exiting the building, people should move to a safe distance away and await further instruction, including the all-clear signal, before re-entering. Supervisors or the senior employee in each area at the time of the alarm and the instructor in a classroom are responsible for ensuring the safe evacuation of their area before leaving the building themselves.  

Severe Weather Emergency Closing  

In the event that the University has been officially closed because of severe weather conditions, the local media [radio stations: CKGL (570 AM), KFUN (99.5 FM), CHYM (96.7 FM), and KOOL-FM (105.3 FM)] will be contacted in an effort to inform the public about the closing of the University facilities. St. Jerome’s University will follow University of Waterloo policy, which states, “A decision to “close” will be conveyed by the Provost to the Director of Communications and Public Affairs, who will arrange to: post details on UW’s homepage, amend UW’s automated telephone greeting, and notify local radio stations as necessary. The Provost with assistance from C&PA, or others as required will notify Executive Council, the Faculty and Staff Association Presidents and the student Presidents (Federation of Students, Graduate Student Association) who, in turn, will notify others under their jurisdiction. In such circumstances, individuals are to consult UW’s homepage, tune in to a local radio station or call UW’s Infoline (1-866-470-0910) to learn whether UW is closed. Notice of a campus closing will be posted on UW’s homepage, normally by 7:00 a.m., remaining in effect until 7:00 a.m. or later the next day.”

In the event of closure of the University prior to the start of the business day, the Senior Administration and Department Heads will invoke the SJU call tree.

In the event of closure of the University after the start of the business day, employees will be instructed to go home if they can safely do so. Every effort will be made to accommodate employees who think it advisable to remain on site rather than leave.

When, in the event of severe weather conditions, the University as a whole has not been officially closed, but an individual instructor thinks it necessary to cancel an individual class, it is the responsibility of that instructor to inform the Receptionist at the switchboard as soon as possible but no later than 3.00 p.m. in the case of evening classes so that student enquiries may be responded to accurately. The Receptionist will ensure that notices are posted both on the front door of the classroom building and on the relevant classroom door. Evening course instructors should bring this information to the attention of their students and all advertising directed to the attention of evening school students should advise them to phone St. Jerome’s after 3.00 p.m. if they are in doubt as to whether the course is to be held that evening.

Medical Emergencies

In case of medical emergency, call 6-911. The following address for St. Jerome’s must be given to the dispatcher:

After calling, if possible send someone to the drop-off circle on the access road to meet emergency personnel. Non-life threatening medical emergencies may be directed to University of Waterloo Health Services during normal business hours.
